Purpose of Role
To provide high-level executive, administrative, coordination and operational support to the Postmaster General to facilitate the effective management of the Office, coordination of corporate activities, communication with key stakeholders and implementation of organisational priorities

QUALIFICATIONS AND EXPERIENCE
- A Diploma in Business Administration, Public Administration, Office Management, Secretarial Studies, Management Studies or a related field. A degree will be an added advantage.
- At least five (5) years’ relevant work experience, with at least three (3) years’ experience in a senior executive, administrative or office management support role.
- Demonstrated experience in coordinating high-level meetings, preparing executive correspondence, reports and briefing materials, and handling confidential information.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook, and familiarity with modern office management systems.

- Managing and coordinating the day-to-day operations of the Office of the Postmaster General.
- Managing the Postmaster General’s diary, appointments, meetings, engagements and official commitments.
- Preparing briefing materials, reports, correspondence, presentations and other documentation required by the Postmaster General.
- Coordinating and following up on pending actions, assignments and commitments arising from the Postmaster General’s Office.
- Drafting, editing and coordinating official correspondence, memoranda, reports and other executive communications.
- Maintaining accurate, secure and confidential records and documentation.
- Serving as a key point of contact between the Postmaster General and internal and external stakeholders.
- Liaising with government institutions, the Board Secretariat, senior management, business partners and other strategic stakeholders on matters requiring the attention of the Postmaster General.
- Organising and coordinating high-level meetings, conferences, official functions and stakeholder engagements.
- Preparing meeting agendas, briefing packs and supporting documentation, and recording minutes and action points as required.
- Monitoring the implementation of management and Board decisions and providing timely progress updates.
- Assisting in the preparation and coordination of strategic, operational and performance reports.
- Coordinating official travel arrangements, itineraries, accommodation and other logistical requirements for the Postmaster General.
- Supervising and coordinating administrative support staff attached to the Office of the Postmaster General.
- Supporting corporate initiatives, special projects and other assignments undertaken by the Postmaster General.
- Performing any other related duties as may be assigned by the Postmaster General.
