Accounts Assistant
To be based in Lusaka
PURPOSE STATEMENT:
The accounts assistant is responsible for providing administrative and technical support to the Tax Officer by maintaining accurate tax records, preparing schedules and reconciliations, processing tax-related documentation, and assisting in the preparation and submission of statutory tax returns. The role ensures compliance with applicable tax legislation and supports the organization in meeting all statutory obligations within prescribed deadlines.
Core Duties
- Prepare schedules supporting VAT, Corporate Income Tax, Withholding Tax, PAYE, Rental Income Tax, Turnover Tax, and any other applicable taxes.
- Compile and reconcile tax data from the accounting system before submission.
- Verify the accuracy and completeness of tax-related transactions recorded in the accounting system.
- Assist in the preparation, computation, reconciliation, and submission of industry-specific statutory returns, including the Uniform Pump Pricing (UPP), Strategic Reserve Fund (SRF), Transport Equalization (TE), Price Stabilization (PS), and Fuel Marking Fees.
- Prepare supporting schedules and reconcile sales volumes, import data, and other relevant information required for UPP, Strategic Reserve Fund, Transport equalization, Price Stabilization, and Marking Fee returns.
- Assist in reconciling tax accounts with the general ledger.
- Reconcile statutory receivable and payable accounts.
- Monitor tax payment due dates and maintain a tax compliance calendar.
- Prepare payment schedules for taxes and statutory levies due and submit them for approval.
- Download and archive tax acknowledgements, payment confirmations, and statutory receipts from the relevant online portals.
- Maintain proper filing (electronic and physical) of tax returns, statutory returns, payment receipts, tax assessments, and correspondence.
- Assist in responding to tax queries raised by the Zambia Revenue Authority (ZRA), the Energy Regulation Board (ERB), and other regulatory authorities.
- Prepare schedules and supporting documentation required during tax audits, regulatory inspections, assessments, reconciliations, and compliance reviews.
- Assist in gathering documentation for tax objections, appeals, reconciliations, and regulatory correspondence.
- Ensure all invoices and supporting documents comply with statutory tax requirements.
- Maintain accurate records of Smart Invoicing transactions and assist in resolving Smart Invoice discrepancies.
- Liaise with internal departments to obtain documents required for tax compliance and statutory reporting.
- Maintain confidentiality of all tax, statutory, and financial information.
- Perform any other duties assigned by the Tax Accountant.
Qualifications
- ZICA Technician, Diploma in Accountancy, Taxation, Bachelors of accountancy or a related field.
- Minimum of one (1) year experience in accounting, taxation, or finance is an added advantage.
Knowledge and Skills
- Basic knowledge of Zambia tax laws and statutory requirements.
- Understanding of VAT, PAYE, Withholding Tax, Corporate Income Tax, and Rental Income Tax.
- Knowledge of the Zambia Revenue Authority (ZRA) online systems is an added advantage.
- Familiarity with Smart Invoicing processes is desirable.
- Proficiency in Microsoft Excel, Word, and accounting software.
- Good analytical and numerical skills.
- Strong attention to detail and accuracy.
- Good communication and interpersonal skills.
