Copper Rose Zambia (CRZ) is seeking a Finance and Administration Officer (FAO). The FAO will provide effective financial and accounting support to the Finance and Administration Manager (FAM) and the CRZ team. He/ She will implement and as needed manage various financial and accounting systems, processes and procedures while adhering to all CRZ financial policies as well as good accounting practices.

Location: Head Office, Lusaka Zambia

Preferred Start Date: 1st May 2021

Length of Contract: 8 months with possibility of extension subject to availability of funding

Reports to: Finance and Administration Manager

Expected Travel : National travel may be required (25%) including to remote districts

With thematic focus on Sexual Reproductive Health and Rights (SRHR), Menstrual Health Management (MHM), Leadership and Mentorship, Economic Empowerment and Mother and Child Health, the organization envisions a world in which every woman and youth is happy, healthy and living to their fullest potential.


A. Finance and Accounting Management (55%)

  • Ensure that payments are made on timely basis following laid down financial regulations as per CRZ policies governing payables.
  • Ensure that accounting records and books of accounts are kept up to date and are in accordance with CRZ chart of accounts.
  • Maintain a web-based accounting system (Quick books) for the management of CRZ expenditures and reports.
  • Assist the Finance and Administration Manager with the day-to-day financial and administration operations of the head office and remote staff.
  • Provide financial management for the head office and remote staff, and manage petty cash float, assist with procurement analysis as required, general Administration and HR filing.
  • Track all office bills and expenses and remit all necessary payments on time.
  • Prepare and submit monthly financial reports for consolidation.
  • Prepare and submit on a monthly and quarterly basis cash flow projections.
  • Ensure that advances for staff are retired promptly in accordance with CRZ financial policy.
  • Prepare monthly bank reconciliation and any other financial reports.
  • Provide guidance to the entire team on charging relevant expenses to their respective codes and budget tracking of both program and admin budgets
  • Provide Custody of office inventory.

B. Administration and Operations Management (35%)

  • Oversee the general administrative functioning of the office, i.e., office maintenance, repairs, housekeeping, and ensure the security of the office, property and staff.
  • Supervise all casual workers i.e., cleaners and security guards, and ensure that they are working efficiently.
  • Responsible for managing care repairs and maintenance i.e., arranging car service by annually and any day-to-day car maintenance checks.
  • Manage vendors list and all payments to be made monthly.
  • Check transport Log sheet on a regular basis and ensure reconciliation with the transport service company is done monthly and also manage in-house trip planning.
  • Obtain quotes and pro-forma invoices from vendors as directed by the Finance and Administration Manager, including ensuring that CRZ procurement procedures are adhered to
  • Act as focal point for all procurement of furniture, equipment and services for the office,
  • Receives and sends documents and ensures that a tracking system is in place for in-coming and out-going correspondence.
  • Providing support in all training preparation activities taking place in the all-project sites.

C. Other Duties (10%)

  • Other duties may be required from time to time, including responsibilities which require work on weekends and holidays for which time off in lieu may be taken.


  • ZICA, ACCA Part II /CIMA Part II or equivalent with at least 1-2 years of financial and administrative experience.
  • Interest and/or knowledge of operating accounting software like QuickBooks is strongly preferred.
  • Valid Zambian Drivers Licence is essential.
  • Excellent verbal and written English.
  • Ability to take initiative and work in teams.
  • Proficiency in Microsoft Word and Excel required.
  • Experience and knowledge of Zambian tax laws
  • Experience working with an NGO is preferred but not required.
