Human Resources and Administration Assistant
Applications are invited from suitably qualified and experienced persons to fill the under listed job position in the organization.
Position: Human Resources and Administration Assistant – Lusaka (1)
Purpose of the Job
Perform a wide range of administrative and human resource office support activities for the Office team to facilitate the efficient operation of the organization.

Job Accountabilities
Administrative
• Covering the reception area and attending to clients and directing them to appropriate offices
• Carrying administrative duties such as filing, typing, copying, binding, scanning etc.
• Organizing travel arrangements for staff.
• Daily supervision of the office assistants including transport scheduling, cleaning services, maintenance at NO, etc
• Booking conference calls, rooms, taxis, couriers, hotels etc.
• Processing office expense sheets and invoices.
• Monitoring stationary levels and ordering office supplies.
• Maintaining computer and manual filing systems.
• Provide information to internal colleagues or external enquirers.
• Taking accurate minutes of meetings.
• Resolve administrative problems.
• Receiving, sorting and distributing of mail.
• Answer, screen and transfer inbound phone calls
• Ensure maintenance of office equipment
• Oversee and supervise the work of office assistants.
Human Resource
• Provide support to the HRAM/HRO in the recruitment process at NO and Locations
• Provide orientations for new employees by sharing on boarding packages and facilitating orientation meetings
• Coordinate HR projects (meetings, training, surveys etc) and take minutes
• Maintain active files on all the staff members
• Attend to all staff queries and bring them to the attention of the HRO
• Participate in all departmental meetings and contribute to the efficient running of the department
• Participate in potential disciplinary meetings and take accurate minutes for such meetings
• Supervise NO office assistants; set performance goals, performance appraising, training and development support, etc.
Reporting lines: Reporting to Human Resource Officer

Qualifications and Experience
• Full Grade 12 School Certificate with a minimum of five credits and mathematics as one of the credits.
• Diploma / degree in Business Administration, Human Resources, Public Administration, or Equivalent
• A minimum of three (3) years in administration and human resource
• Other competencies and requirements
• Proficiency in Microsoft package
• Fully paid up member of the Zambia Institute of Human Resource Management
• Strong understanding of administrative processes
• Should be a team player with leadership skills, integrity, progressive and un-blemish track record, very innovative and an effective communicator.
